FIRST, MAKE THE LIST YOURS
Start with the people in your application.
When documents are scattered across messages, folders and email, it is difficult to see whether you are ready. Start with a working list for each person rather than one large pile of files.
Use ICA's PR eligibility and application page to confirm the relevant route, then open the official PR document checklist. Its columns distinguish applicants, spouses who are not applying and sponsors. Requirements and exceptions depend on the person and circumstances.
List who is applying. Choose one missing or unclear item. Write down who can resolve it and what you need to ask.
This guide explains a preparation method. It does not replace ICA's current checklist or the instructions in your application. Citizenship uses a separate application process and checklist.
TURN FILES INTO A WORKING LIST
What to gather and organise.
The official checklist covers identity and family records, qualifications, employment and applicable business records. Keep each person's evidence separate and follow the relevant exceptions. Examples include:
| Category | Examples to check | Your working question |
|---|---|---|
| Identity and family | Passport, birth, marriage or name change records, where applicable | Does the record belong to the correct person? |
| Qualifications | Certificates, transcripts and relevant professional records | Do I have the complete set of pages? |
| Employment | Current employer letter and the required period of payslips | Do the dates, role and pay details agree? |
| Self employment | Applicable registration and financial statements | Have I checked the required records and periods? |
Mark which documents you have, which you need to obtain and which requirements you need to check. Not sure whether a document applies? Check the instructions for the person concerned or ask Alvin before leaving it out. The official checklist may require records beyond these examples.
Keep the originals and use clear filenames so you can find and check each record easily. Note where each document came from and read the contents before using it in your application.
HAVING THE FILE IS THE FIRST STEP
Five questions before you mark it ready.
Is it the right person's record?
Check the name and identifying details against that person's current evidence. Treat a name variation as a question to resolve, with supporting records where needed.
Do the facts agree?
Compare dates, job details and figures with your intended application answers. Understand what each figure represents. Ask the issuer about a conflict; do not guess or alter an issued document.
Is it complete and current?
Open every page. Check for missing pages, an incomplete period of records or a document that needs updating under the current requirements.
Can it be read clearly?
Check small print, stamps, edges and orientation. Reopen the final file after any resizing or compression; make sure important information remains readable.
Does it fit the actual upload request?
Follow the current portal's category, file type and size instructions for that slot. Recheck the person and document before uploading. Do not assume every slot has the same limits.
For documents in other languages, consult ICA's current translation and document requirements before arranging the work.
SEE THE METHOD IN PRACTICE
Three unclear items become three next actions.
FICTIONAL PREPARATION EXAMPLE
These records and figures illustrate checking; they are not a client case or an ICA outcome.
The employer letter may need updating
Found: the folder contains an older letter.
Action: check the current requirement and ask HR for an updated letter where necessary.
Ready when: the replacement and its required details have been checked.
Basic and gross salary have been mixed up
Found: the draft says S$5,400 basic pay; the letter says S$5,000.
Action: confirm the difference with the employer using the letter and payslip.
Ready when: the evidence confirms S$5,000 basic plus a S$400 allowance and the draft reflects the verified figures.
The transcript is incomplete
Found: the file ends at page three of four.
Action: obtain the complete record from the institution.
Ready when: all pages are checked and the final upload follows the actual portal instructions.
If information is missing or inconsistent, confirm it with the issuer before using it in your application.
BEFORE YOU SUBMIT
Check your application against your documents.
- Check the application route and people included.
- Compare names, dates and answers with current records.
- Check that every uploaded file belongs to the right person and category.
- Open the final files and resolve material unanswered questions.
ICA requires applicants to review the application and provide the relevant declarations through their permitted login. Keep your Singpass password and OTP private and retain final submission control.
If you have applied before, compare your earlier submission with your current circumstances. Check genuine changes and obtain any documents that need updating.
