Official ICA guidance

Start with the people.

Your route and circumstances determine which records apply. ICA’s checklist distinguishes these roles; their document requirements differ.

Each applicant

A separate set for every person applying.

Non-applying spouse

Check the spouse column where it applies.

Sponsor

Use the sponsor requirements for your route.

Use your personalised document list

ICA explains that it appears after you enter the relevant applicant information and application product in its e-Service. Use it alongside the official checklist.

Official ICA requirements; where applicable

Four groups to organise.

Use this map to organise the records your application asks for. It is an overview; your personalised list and the current ICA checklist govern the requirements.

Identity and family

Photo, travel documents, birth or household records, marriage and relevant legal records.

See the identity and family conditions

ICA lists a recent colour photograph at 400 × 514 pixels with a white background; travel documents not issued by ICA; and birth or household records for births not registered in Singapore. Marriage certificates are listed for marriages not registered in Singapore.

Applicable records can include adoption, name changes, separation, divorce, death, custody and consent from an ex-spouse. Follow the conditions for the particular person and record.

Education and qualifications

Qualification certificates and transcripts; applicable skills, professional licences and membership certificates.

Preparation advice: Keep the complete certificate and transcript together; check every page.

Employment

3months

Employer letter issued within three months of application.

6months

Payslips for the required six months.

Employer letter and overseas tax details

The employer letter states your occupation, employment start date, and basic and gross monthly salary.

The checklist’s three years of tax assessments or receipts apply to overseas employment.

Preparation advice: Check freshness against your intended submission date; compare the role, dates and salary with the prepared answers.

Self-employment

Current ACRA registration, plus three years of balance sheets and profit and loss statements.

Preparation advice: Check the required periods and request missing evidence from the relevant issuer.

Other records; National Service and aged-parent applications

Applicable National Service records include the service certificate, transcript and testimonial. For aged-parent applications, ICA’s checklist has an additional section for non-applying children’s records; use it for the precise conditions.

Not sure whether a document applies? Check the instructions for the person concerned or ask Alvin before leaving it out.

Official ICA guidance

Keep copies and translations together.

Certified true copies

ICA’s Citizenship guidance asks for certified true copies when uploading. Keep the original intact.

Official translations

Documents in other languages need official translations. Match each translation to its original record.

Accepted translation routes and missing documents

Follow ICA’s accepted embassy, notary and attestation routes in its current Citizenship guidance. An informal translation is not automatically accepted; ICA does not endorse private translation companies.

ICA’s missing-document guidance describes alternatives from the same authority carrying equivalent information, or an explanatory letter when alternatives are unavailable. These options do not assure acceptance; ICA can request additional evidence.

Preparation advice

Five checks before final review.

  1. 1

    Right person

Check that every document belongs to the right person; keep a separate checklist for each person.

  2. 2

    Facts agree

Compare names, dates, relationships, work and salary. Ask the issuer to clarify any differences.

  3. 3

    Complete and current

Open every page and check the required periods against your intended submission date.

  4. 4

    Clear to read

Check small print, stamps and edges; reopen the final file after compression.

  5. 5

    Correct upload

Check the document category, file type and size instructions for each upload.

If information is missing or inconsistent, confirm it with the issuer before using it in your application. Keep a list of anything you still need to obtain; use accurate answers and keep issued documents intact.

Alvin’s preparation service

We prepare first; then review and submit together.

You can apply directly through ICA. If you want my help, you do not need a perfectly organised folder to start. Keep your Singpass and OTP private; confirm the facts and declarations, and retain final submission authority.
